The websites at and ("the Site") are operated by  The Institute of Grocery Distribution, a company registered by guarantee in England under registered number 105680 with registered office at Grange Lane, Letchmore Heath, Watford, Herts, WD25 8GD ("we", "us" and "our" ) either in our own capacity or, where stipulated, as agent for IGD Services Limited, a company registered in England under number 3357260 with registered office at Grange Lane, Letchmore Heath, Watford, Herts, WD25 8GD or agent for IGD (Services) Canada Inc.

In this privacy policy, references to "you" or "your" means any person submitting any data to us or to the Site about himself or herself or about any other living individual in respect of any use of the Site or any service or material available through the Site.

When you use different aspects of the Site, we may ask you to supply us with various information about you or anyone who you represent. This privacy policy sets out the way in which we may use such information.

Your privacy is very important to you and us. We depend on the trust of our customers. We are therefore committed to protecting your privacy and we shall only use your name, the names of your staff and other information which relates to you in the manner set out in this privacy policy. We will only use your personal information in a way that is fair to you. We will only collect information where it is necessary for us to do so and we will only collect information if it is relevant to our dealings with you.

We will only keep your information for as long as we are either required to by law, or as is relevant for the purposes for which it was collected.

We have in place appropriate technical and security measures to prevent unauthorised or unlawful access to or accidental loss of or destruction or damage to your information. In particular, we store your personal details on a secure server. We use encryption technology when obtaining your payment card details in the order form from you and we use firewalls on our servers. No payment card details are stored on our servers.

Data that we collect

We may ask you to supply us with various information about yourself or your colleagues during your use of the Site. We use that information to process your orders and to give you a service that suits your preference.

We may collect various information from you relating to you or people you represent that is capable of identifying you or them personally when you submit an enquiry to the Site, when you submit your order for goods, services or materials or when you subsequently visit the Site including (without limitation) the following: your title; name; job title; organisation; postal address; address for delivery of the goods; address for invoicing; telephone number; e-mail address; delegate name(s); delegate email addresses; delegate job titles; comments, enquiries or suggestions that you submit to us and details of how you discovered the goods, services or materials and why you require further information; usernames; passwords; Internet Protocol address numbers; payment card details; and names, profile, contact details, usernames and passwords of those people you represent.

We need this information in order to respond to your enquiry, process and deliver the goods, services or materials ordered by you, to collect payment from you, to send you information relevant to the goods, services or materials ordered and in case we have any queries. Other uses of your personal information

We may use any of the information which you provide to us in order to send you our newsletters, publications and other information about us, our websites, our goods or services, our events, training, seminars, details of events or goods or services offered by third party sponsors who we have selected, or anything in which you show an interest. If you attend any of our events, including a webinar, we may include your name, job title and company name in a delegate list. Delegate lists may be distributed in hard copy or electronically including via PDF or weblink. Your name, job title and company name may be placed on or any of our other websites including apps.  We may also use your details to allow other delegates to send you messages within a dedicated app. If you would prefer not to receive that information or any part of it or be included in any way, please inform us of this by sending us an appropriate e-mail explaining this to [email protected], write to us at the above address or fax us on 01923 852531.

We may also use your personal information to customise the Site in line with your preferences and to help us understand the way in which users use and visit the Site, analyse user trends and diagnose technical problems. The data obtained by us from your usage of the site can be linked to other personal data held by us.

Further, we may use your personal information for the purposes of billing, customer services, network management, customer surveys and improving the Site.

Please be aware that to protect your privacy we will wherever practicable aggregate your personal information so that it is used by us in an anonymous format.

Third Parties and Links

We may pass your details to our agents and subcontractors to help us with any of our uses of your data set out in our privacy policy. Other than as set out in this privacy policy, we shall NOT sell or disclose your personal data to third parties (e.g. third party marketing organisations) without obtaining your prior consent unless this is necessary for the purposes set out in this privacy policy or unless we are required to do so by law.

The Site may contain advertising of third parties or links to other sites or frames of other sites. Please be aware that we are not responsible for the privacy practices or content of those third parties or other sites (except if we operate those sites), nor for any third party to whom we transfer your data in accordance with our Privacy Policy.


IGD uses a third party company called Hotjar to analyse user trends and diagnose technical problems. Hotjar also uses cookies to determine if someone has opted out of being tracked by Hotjar services. You may opt-out from having Hotjar collect your information when visiting at any time by visiting Hotjar’s Opt-out page and clicking 'Disable Hotjar'.

The Site uses cookies. Cookies are tiny text files which identify your computer to our server as a unique user and they are stored by your Internet browser on your computer's hard drive. Cookies can be used to recognise your Internet Protocol address, saving you time while you are on, or want to enter, the Site (for example to remember who you are without you having to re-enter your username and password each time you are on the Site). We only use cookies for your convenience in using the Site and not for obtaining or using any other information about you (for example targeted advertising). Any material changes to the way in which we use your data will be described in future versions of this privacy policy. Each time you enter the Site, order goods or services from us or submit data to us, you agree that the privacy policy current at that time shall apply to all information which we hold about you.


By using the Site, you consent to our use of your data and of anyone you represent in the manner set out in this privacy policy and agree to be bound by the terms of this privacy policy (as amended).

Transfers outside of the EEA

In the event that we send any personal information outside of the EEA, we will ensure that appropriate safeguards are in place to protect the information. 

Volunteers for charitable activities

If you volunteer for one of IGD's charitable activities, we will use your personal details to communicate with you about IGD's charitable activities. We may share your details with trusted third parties who deliver services on our behalf, but we will not sell your details.

We will not automatically add you to our database to send you details of our commercial opportunities, but we may from time to time contact you to see if you are interested in any of our commercial offerings.

Educator Hub registration

IGD will use data gained via registration for the Educator Hub to help us understand how our free teaching resources have been used and to help us plan better for the future.

We will contact users via email to gain feedback on our educator resources. We do this to measure our charitable impact and improve the services we provide.

All data from the feedback survey will be aggregated and anonymised. We may use your quotes however, we will not publish your name or school without your consent.

Feedback from the survey will be published on our website, reports and communication emails.

Educator Hub opt-in for sharing data with trusted third party

If you have opted-in, we may share your details with trusted third parties (currently Hopscotch, Future First and EdComms) who deliver services on our behalf, but we will not sell your details.
